Head of Facilities and Safety Reporting to: Chief Operating Officer Location: London-based (multi-site oversight, with regular travel between all locations) Compensation: Competitive salary + annual bonus + car allowance About the Role: The Head of Facilities and Safety keeps every Healthxchange site safe, compliant and fit for purpose, so our teams can dispatch customer orders on time and in full (OTIF).You'll own health and safety, fire safety, premises maintenance and site security across our pharmacies in London, Manchester and Reading, as well as our regional distribution centre (RDC). Reporting to the Chief Operating Officer, you'll work closely with the Superintendent Pharmacist and Responsible Person to ensure our premises meet MHRA Good Distribution Practice (GDP) and GPhC standards. You'll also partner with Operations, Pharmacy, HR and Finance. Responsibilities: Health and safety Own the health and safety policy and management system across all sites, in line with the Health and Safety at Work Act 1974 and related regulations Carry out and keep up to date risk assessments, including COSHH, manual handling, display screen equipment (DSE), and new and expectant mothers Investigate accidents, incidents and near misses, find root causes and track corrective actions to completion Manage RIDDOR reporting and keep the accident log accurate Run regular site safety audits and inspections, and report findings to the COO Make sure enough trained first aiders and fire marshals are in place at every site and on every shift Fire safety and security Ensure each site has a current fire risk assessment and that its actions are completed Manage fire alarm, emergency lighting and extinguisher testing and servicing, and run regular evacuation drills Oversee site security, including access control, CCTV, intruder alarms, key holding and secure storage for controlled drugs, working with the Superintendent Pharmacist Own business continuity and emergency plans for each site, including power or IT failure, flooding and fridge or cold room failure Facilities and maintenance Manage planned and reactive maintenance for buildings, plant and equipment, including HVAC, electrics, water, lifts and loading bays Manage statutory compliance testing, such as fixed wire (EICR), PAT, gas safety, Legionella and asbestos management Make sure material handling equipment (MHE) and pallet racking are inspected and safe, including LOLER, PUWER and SEMA racking inspections Procure and manage facilities contractors and suppliers, such as cleaning, waste, pest control, security and maintenance, including contracts, performance and permits to work Act as the main contact for landlords, managing agents and surveyors, including lease obligations, dilapidations and service charges GDP and regulatory premises compliance Ensure premises and equipment support MHRA GDP and GPhC requirements, working with the Responsible Person and Superintendent Pharmacist Manage temperature control and monitoring systems, including temperature mapping, calibration, alarms and out-of-hours response Keep pest control, cleaning and waste management (including pharmaceutical and hazardous waste) compliant and well documented Support MHRA, GPhC, local authority and insurer inspections, and own any premises-related actions Projects and site changes Lead facilities workstreams for new sites, relocations, fit-outs and expansions, from basis of design through to handover Manage external consultants and contractors Ensure new or changed spaces are safe, compliant and ready to operate before go-live Budget and reporting Own the facilities and health and safety budget, including maintenance, contracts and capital spend Look for cost savings, for example in energy, waste and contractor spend, without reducing safety or compliance Report monthly on safety, compliance and facilities performance to the COO and senior leadership team People and culture Build a positive safety culture where everyone reports hazards and near misses Plan and deliver health and safety training, including inductions, manual handling, fire safety and refreshers Support site managers to understand and meet their safety and facilities responsibilities Line manage any facilities team members and oversee contractors Requirements: Essential NEBOSH National General Certificate in Occupational Health and Safety, or equivalent At least 5 years' experience in facilities management and/or health and safety, including at least 2 years in a management role Experience managing several sites, ideally in warehousing, logistics, retail pharmacy or another regulated environment Strong working knowledge of UK health and safety, fire safety and statutory compliance requirements Proven experience managing contractors, budgets and maintenance programmes Excellent organisation and the ability to manage competing priorities across sites Clear, confident communicator who can influence people at all levels Desirable NEBOSH Diploma, or Chartered or Graduate membership of IOSH (CMIOSH or GradIOSH) IWFM qualification or membership Experience of MHRA GDP, temperature-controlled storage or pharmaceutical distribution Experience of fit-out or new-site projects, including CDM 2015 Fire risk assessment qualification Experience with CAFM or compliance management systems Benefits: Company pension, annual performance bonus, 25 days holiday plus bank holidays (and increasing with service), staff discount, staff social events, access to Health Assured EAP, birthday off perk.
