REQUIREMENTS AND DESCRIPTION Office Manager (Maternity Cover) Location: Oxford Airport, Kidlington  Fixed-Term Contract until October 2027 Hours: Part-time 25 hours (over 4 or 5 days per week) Pro-rata salary: £17,550 per annum  At Unifi Aviation, we know that exceptional operations start with an exceptional workplace. We're looking for an organised, proactive, and highly professional Office Manager to become the driving force behind our Oxford Airport Head Office. Supporting our Head Office and Senior Leadership Team, you'll play a central role in ensuring our office runs efficiently, professionally, and seamlessly every day. From managing facilities and suppliers to coordinating executive travel, supporting finance administration, and creating a welcoming environment for employees and visitors alike, this is a varied role where no two days are the same. What You'll Be Doing:  As Office Manager, you'll be responsible for the day-to-day management of our Head Office, including: Office & Facilities Management • Ensuring kitchens, meeting rooms, communal areas, and executive offices remain clean, organised, and fully stocked • Managing stationery, office supplies, refreshments, and consumables while supporting paperless working practices • Preparing meeting rooms for internal and external meetings, ensuring equipment and technology are fully operational • Monitoring housekeeping standards and maintaining a clean desk culture across the office • Managing relationships with cleaning contractors and other suppliers to ensure high service standards • Conducting regular office inspections, stock checks, and workplace audits • Supporting health and safety compliance and maintaining a professional working environment Administrative Support • Providing administrative assistance to the Head Office Team, CEO, CFO, and Senior Leadership Team • Arranging travel, accommodation, and itineraries for visiting executives, including senior leadership from the USA • Managing meeting room bookings and coordinating visitor arrivals • Maintaining visitor records and ensuring a professional experience for guests and stakeholders • Supporting senior leaders with ad hoc administration, correspondence, and coordination tasks Finance & Procurement Administration • Assisting the Finance Team with administration, filing, document management, and supplier records • Managing Amazon account approvals and overseeing office and station orders • Supporting petty cash administration and expense reconciliation • Maintaining secure records and archiving key financial and contractual documentation • Coordinating the secure distribution of company credit cards and prepaid cards to stations • Producing regular updates on office expenditure, supplies, and procurement activity Fleet & Transport Coordination • Managing pool vehicle bookings and ensuring vehicles remain clean, roadworthy, fuelled, and available when required • Supporting fleet administration, including fines, fuel receipts, vehicle records, and compliance documentation • Liaising with the Fleet Manager to ensure vehicle-related issues are resolved promptly • Post, Courier & Logistics Support • Processing inbound and outbound post, deliveries, and courier shipments • Coordinating internal deliveries and co-mail to operational stations • Supporting post room operations during periods of absence or peak workload Continuous Improvement • Monitoring office budgets and consumable spend • Managing stock levels across office locations and coordinating replenishment activities • Maintaining company asset registers for office equipment and furniture • Gathering employee feedback and identifying opportunities to improve the workplace environment • Supporting initiatives that enhance efficiency, professionalism, and employee experience What We're Looking For We're seeking someone who is highly organised, detail-oriented, and comfortable juggling multiple priorities. Ideally you'll have: • Previous experience as an Office Manager, Office Coordinator, Facilities Coordinator, or similar administrative role • Excellent organisational and time management skills • Strong communication and stakeholder management abilities • A proactive, hands-on approach and willingness to get involved • Good working knowledge of Microsoft Office applications • Experience handling confidential information with discretion and professionalism • Experience supporting senior leaders or executive teams would be advantageous Why Join Unifi?
